What does a managing agent do?
A Residential managing agent takes care of the day‑to‑day management and upkeep of the shared areas in an apartment building and/or residential development on behalf of the Management Company. Their role is to make life easier for homeowners (shareholders) by organising the maintenance, repairs, and general running of any communal spaces. Whether you have a managing agent already or are considering appointing one, this guide should give you the information you need.
What is a managing agent?
A managing agent is appointed to look after the shared or communal areas of a residential building or development.
Do you have to use a managing agent?
No, you do not always have to use a managing agent.
In Northern Ireland, generally developments with communal areas are established with Management Companies on Companies House who are responsible for looking after these shared common spaces. Each owner’s title deeds will reference this management company, and both will have contractual obligations to maintain and manage the area. In most cases homeowners will choose to appoint a managing agent to manage this company and maintain the shared areas on their behalf. Owners can choose to self-manage, but given the time and complexity of organising services, collecting funds and record keeping they would tend to appoint an appropriate agent to do this on their behalf.
What areas does a managing agent look after?
A managing agent will look after the common areas of the development as prescribed in the title documents. This generally includes areas such as communal stairwells, roofs, lifts, gardens, parking areas, landscaped grounds, and other communal parts owned jointly by homeowners. The managing agent’s job is to make sure these spaces are well-maintained, safe, and meet all legal requirements. As well as this, the agent will often be responsible for ensuring the common parts are insured and will assist directors to ensure proper company governance and that company filing is carried out.
In practical terms, a managing agent will arrange routine jobs like stair cleaning, gardening, lift servicing, and grounds maintenance. They’ll also handle repairs, whether that’s fixing a leaky roof, dealing with a broken light, or coordinating emergency call‑outs when something urgent happens.
On top of the physical upkeep and governance of the company, a managing agent looks after the development finances too. They issue invoices, collect payments from owners, prepare budgets, and pay contractors, helping everything run smoothly and transparently. In many cases, they also look after the building’s insurance policy where a shared policy is required.

Over two days of workshops, discussions and team building activities, students explored their leadership roles in greater depth and began planning for the year ahead. Cladding remediation works in Belfast
Cladding remediation works in Belfast are currently underway at two of our developments after external wall assessments raised fire safety concerns.
Since the Grenfell Tower fire, building safety and the use of combustible cladding has come under much closer scrutiny across the UK. As a result, Fire Risk Appraisals of External Wall Construction (FRAEWs) have become an important part of assessing fire risk in residential buildings. In some cases, an EWS1 form may also be required to support valuation, sale or re-mortgage. These assessments help building owners identify whether remedial works are required and can support applications for funding through schemes such as the Cladding Safety Scheme (CSS).
We spoke to Max Alexander, Client Relationship Manager in our Belfast office, who is working with homeowners and specialist project managers on the cladding remedial works at these two developments.
What does a good site visit look like?
When you live in a managed development, the small things matter; clean stairs, safe communal areas, and repairs dealt with before they turn into bigger (and more expensive) jobs. That’s why we put a real focus on regular, in-person site visits.
Our Client Relationship Managers visit every development we manage at regular intervals throughout the year. We’ve found it’s one of the best ways to spot issues early, keep an eye on contractor standards, and plan proactive maintenance.
