Although not regulated in Northern Ireland, Residential block management is governed through the title documents and company articles of association and memorandum. Our team are approachable and on-hand for day-to-day needs, from stair maintenance and landscaping to roof repairs and car park upkeep.
For many homeowners, having a named point of contact who can arrange urgent repairs, handle insurance claims or share updates on planned works makes a real difference to the management experience. We commit to carrying out a number of site visits per year dependent on site complexity to check on the condition of internal and external communal areas. As a result, we know each development in detail and can be proactive in dealing with repairs/maintenance issues.
In case of emergency, we provide 24/7 out-of-hours phone support. This is included within the management fee.

Financial management
We take financial management extremely seriously and work with homeowners to set development budgets. We have a secure online portal for payments and have recently achieved our Cyber Essentials certification, demonstrating our ongoing commitment to protecting customer data and maintaining robust security standards.
A separate client bank account is held for each development so that funds are ring-fenced and cash-flow can be monitored carefully by us. Unlike other factors, interest earned on the account balance is credited to the homeowners.
Insurance arrangements
We work with AJ Gallagher as our broker to ensure a fully comprehensive block buildings insurance policy is put in place which is bespoke to the requirements of the development. We believe that a policy like the one provides the most equitable block buildings insurance policy, and normally results in a more competitive rate. At Charles White (NI) Ltd, the average time from a claim being raised until it is resolved is currently 48 days, whereas the industry average is 110.
It makes sense to have a single block insurance policy for communally owned areas in residential developments. This policy covers the fabric of a building as well as communal areas such as entrances, landscaped areas and roofs. We’ll source a suitable policy for homeowners in terms of cover and cost. This policy doesn’t cover contents within individual properties.
In many cases, it’s a stated requirement in your lease. However, having one collective policy instead of many individual policies ensures the building is adequately insured overall and leads to fewer complications in dealing with claims, particularly when more than one flat is damaged.
A block buildings insurance policy covers two main cost elements:
The cost to the insurer of insuring the risk
The cost of placing and administering the policy, including underwriting, risk management, claims handling, adjustments for property sales, renewal communication, premium collection and arrears control
It’s common practice for the insurance provider to outsource responsibility for these tasks to the broker. Our broker, Arthur J. Gallagher Insurance Brokers Limited, in turn, outsources many of these tasks (renewal communication, premium collection, arrears control, management of communal claims) to Charles White on our portfolio.

Maintenance and repairs
We have a list of approved contractors. All approved contractors must provide us with their Employers and Public Liability Insurance Certificate and also their Health & Safety Policy.
We do not receive commission or remuneration from any of the contractors that we engage to work on the developments we manage. The price the homeowner pays is the same amount that has been charged by the contractor.
Complaints process
We aim to provide an excellent residential property management service. If however we do not meet the standards expected, we take all complaints seriously and have a full complaint handling procedure .
